Client portal

Book event staff online – then keep everything in one place

Every StaffConnect client gets their own client portal. Before the shift you see which staff are coming to you, follow the order status, confirm quotes bindingly, change times without a new enquiry and sign the digital timesheet right there on site. No extra tool, no fee – the portal comes with every booking.

Never booked with us? Then start with the price calculator (opens in a new tab) – your portal access is created automatically with your first confirmed order.

Everyone who works for you appears in the portal with photo, bio and short profile – before the shift starts.

This is what an order looks like in your portal

A recreated example with made-up data – laid out like the real view, so you know what to expect.

  1. Status at a glance

Requested, confirmed, staffed, billed – you see straight away where an order stands, without having to ask.

  2. Who is coming, with a profile

As soon as the shift is staffed, this is where you find the name, photo, bio, short profile and ratings of every assigned staff member, plus their travel time by public transport. One day before, their phone numbers are added.

  3. Staffing progress, as it happens

Even before the shift is staffed, you see how many people have applied. You are not left waiting in the dark.

  4. Digital timesheet

The times are confirmed on site, on a phone. The PDF is then filed in the portal, and the combined invoice follows at the end of the month.

Example view with made-up data, shown in the portal’s English interface – you can switch your portal to English yourself. Real orders, names and photos are only visible once you are logged in.

In the portal, on every order

Your order’s journey – stop by stop

This exact bar sits above every order in the portal. Hover over a stop or tap it to see what is happening right now and what you can do.

  1. Confirmed Your order is confirmed. In parallel you received our client form and the contract link to sign.
  2. Staffing Staffing usually happens 1–2 weeks before the date – earlier, neither we nor our staff can plan reliably. You can already see applicants and interest in the applicants section.
  3. Reminded Two days before the shift we message every assigned staff member personally on WhatsApp: reminder, any last questions, confirmation. That is how we spot early when someone wavers — and arrange a replacement before it becomes your problem.
  4. Day before One day before the shift you automatically receive an email with the assigned staff, the digital timesheets and a print-ready PDF. From then on, staff phone numbers are visible.
  5. Shift Please make sure your listed contact person is reachable at the agreed time. StaffConnect decides who works when and how.
  6. Timesheet After the shift: make sure every staff member fills in the digital timesheet and takes the legally required break. Ideally note down the times yourself for comparison. At minimum, the agreed time is always billed.
  7. Billing We need a few days to review and approve the timesheet. Billing happens at the end of the month – invoices may arrive bundled in the last days of the month.
  8. Rating Feel free to rate the staff – ideally with a short comment – and book your next shift directly if needed.

Features

What you can get done in the client portal

Six things you would otherwise have to pick up the phone or write an email for.

See your crew before the shift

As soon as we have assigned the team, you see the people coming to you – with profile photo, bio, short profile, ratings and their travel time by public transport. Not an anonymous “we’ll send someone”, but names and faces before anyone turns up at your door.

Track the order status

Requested, confirmed, staffed, billed: every order shows where it stands. You don’t have to call to find out whether the shift is already full.

View quotes and confirm them bindingly

The calculated quote is waiting in the portal. One click turns it into a binding booking – the same effect as confirming by email, just traceable in one place.

Change times without a new enquiry

Set-up moves by two hours? You submit a change request right on the order. The order stays in place, your request lands on our phones straight away and we get back to you with what is possible.

Re-order in two clicks

A previous order is the template for the next one: company, venue, contact person and terms are already stored. You only enter the date, times and number of staff.

Documents and records in one place

Quotes, order confirmations, timesheets and the paperwork for temporary agency work are filed with each order – including the equal pay details you have to provide as the hiring company under the AÜG, the German Temporary Employment Act.

Before the shift

You know who is coming – not just that someone is coming

Most frustrations with staffing agencies start in the same place: you book a headcount and on the event day you get strangers. With us, you see the line-up as soon as it is set – every staff member with profile photo and short profile, so you know who you are talking to at the briefing.

  • “Why this person?”: for every staff member, at a glance, what they bring to your event
  • Profile photo, bio, short profile and ratings of every assigned staff member, plus their travel time by public transport
  • Names and phone numbers in the shift summary, emailed to you one day before
  • If someone drops out, you see the replacement in the same order
  • If you like, you pick your team yourself – the curation surcharge is shown openly in the quote

How other agencies handle this is laid out in our comparison: InStaff, Glowstaff, eventas or StaffConnect?

Digital timesheet

Time tracking for event staff – no paper slips, no chasing by phone

The timesheet is the proof of service behind our invoice. With us it is fully digital: recorded by the staff member, approved by you, signed on the event day. Four steps, and none of them takes you more than two minutes.

  1. The staff member enters the times

After the shift, the staff member records start, end and breaks in their employee portal. You don’t have to type anything up or keep track of anything.

  2. You check and sign digitally on site

The timesheet comes to you for approval. You see the times entered, correct them if needed and sign with your finger on your phone – on the event day, while everyone involved is still there.

  3. The PDF goes out automatically

Your signature instantly produces a PDF with date, times, names and venue. It is emailed to you automatically and filed with the order in the portal at the same time.

  4. One combined invoice at month end

Only approved hours are billed. At the end of the month you get one invoice covering all shifts – every line backed by a signed timesheet.

Why this is more than just convenient for you

With temporary agency work, you as the hiring company must be able to show who worked for you, when and for how long. That is exactly what the signed timesheet does: date, venue, times, breaks and the staff member, documented on the day of the shift instead of weeks later from memory. Only hours you have approved are billed – which is also why we charge no overtime premium, just the time actually worked.

After the shift

Re-ordering takes a minute

With us, a second order doesn’t mean a second round of paperwork. Your company, the venue, the contact persons and the agreed terms are stored in the portal – you open the previous order, change date, times and number of staff and send it off. Quote, confirmation and timesheet then run automatically, just like the first time.

The new client rate of 26 €/h net – 30.94 €/h incl. VAT for private clients – naturally only applies to your first booking. From the second one on, what we agreed is what counts – and that is already stored in the portal, so you don’t have to negotiate it again. The new client rate applies to the first 50 person-hours of your first working day, provided the quote comes from the price calculator, you confirm it within three days and you are booking with us for the first time. After that, the regular rate applies.

Access

How to get into your client portal

There is deliberately no self-registration: behind the login are order data and staff profiles. That is why access is only ever created from a confirmed order.

  1. Confirm your first booking

Your access is created from your first order. Work out your quote in the price calculator and confirm it – or call us if you would rather not use the calculator.

  2. Your login details arrive by email

Once the digital contract form is done, the system generates your login details and sends them to the address you gave us.

  3. Set your own password

When you first log in, you choose your own password. Lost your login? Write to info@staffconnect.agency or call us – we’ll unlock your access straight away.

From confirmation to invoice – what happens when

The same process you’ll find in the portal under “Help & FAQ”. Six steps, each with what you need to do – and what happens on its own.

  1. Confirmation & contract

Along with your portal access, you filled in the client form and, in parallel, received the link to the contract. Your confirmed order then appears under “Orders”.

  2. Staffing – one to two weeks before

We usually staff a shift only one to at most two weeks in advance, because neither we nor our staff can plan reliably any earlier. You can see applications and interest on the order well before that, though.

Important: We decide who works when. Please don’t contact the staff before the shift – for them, only the time at the event counts as working time. The exception: if you book a team leader, we release their number so you can discuss details in advance. They are paid for that time, too.

  3. One day before the shift

You automatically receive an email with the assigned staff, the digital timesheets and a print-ready PDF. From that day on, their phone numbers are also visible in the portal.

  4. During & after the shift

Make sure your listed contact person is reachable at the agreed time. After the shift, every staff member fills in the digital timesheet and takes the legally required break. It’s best to note down the times yourself for comparison – at minimum, the agreed time is always billed.

  5. Review & billing

A member of our team checks every timesheet by hand and approves it – that takes a few days. Billing happens at the end of the month; payroll and accounting are scheduled for the first ten days of the month, and bundled invoices sometimes arrive as early as the last days of the previous month.

  6. Rating & next booking

Rate the staff who worked for you – ideally with a short comment. You book your next order straight from the portal.

FAQ

Questions about the client portal and the digital timesheet

What does the client portal cost?

Nothing. The portal comes with your booking – there is no licence, user or set-up fee.

How do I get access to the client portal?

Access is created with your first confirmed order: the system generates your login details and sends them by email. You cannot register yourself – that protects the order and staff data stored behind the login.

Can I see who is coming before the shift?

Yes. As soon as we have assigned the team, you see the assigned staff with profile photo, bio, short profile and ratings – and under “Why this person?” what each of them brings to your event. Names and phone numbers are also in the shift summary that arrives by email one day before the shift.

How does the digital timesheet work?

The staff member enters the times after the shift, you check them and sign digitally on site on your phone. This automatically produces a PDF that is emailed to you and filed with the order in the portal. Billing happens at the end of the month, covering all approved hours.

Is the digital timesheet valid proof of service?

Yes. The timesheet shows date, venue, times, breaks and the staff member, and carries your signature. That makes it the proof of service for our invoice and the basis for billing in temporary agency work.

Can I change times after booking?

Yes. You submit a change request on the order – the order stays in place and you don’t have to send a new enquiry. The request lands on our phones straight away, and we let you know whether and how it can be done.

What is the difference between the client portal and the price calculator?

The price calculator is how you make your first enquiry: it works out the price and sends you a PDF quote in 60 seconds, without any sign-up. The client portal is what comes after: it shows your current orders, the assigned staff, the timesheets and re-ordering with your stored terms.
